Job Description

Position: Transport Officer
Location: Tema, Ghana
Reports to: Chief Operations Officer

Job Purpose:
To coordinate the distribution, maintenance, repair, and utilization of the company’s vehicle fleet, ensuring safe and efficient operations.

Key Responsibilities:

Fleet Management:

Oversee the maintenance and servicing schedule of all company vehicles.
Ensure all vehicles are roadworthy and have valid insurance and roadworthiness certificates.
Monitor and track vehicle movements using GPS tracking systems.
Driver Management:

Conduct proficiency tests for newly recruited drivers.
Train drivers on road safety and professionalism.
Evaluate drivers’ performance and manage work assignments.
Operational Efficiency:

Coordinate vehicle arrangements for staff and logistics.
Plan and implement effective vehicle movement schedules.
Maintain records of transport-related files and documents.
Safety and Compliance:

Ensure compliance with road safety standards and regulations.
Handle vehicle accident reports and insurance claims.
Conduct regular inspections of vehicles and address any issues promptly.
Reporting:

Prepare and submit regular reports on vehicle movements, fuel usage, and maintenance activities.
Provide updates on the status of the vehicle fleet to the Administrative Manager.
Key Performance Indicators (KPIs):
Fleet Utilization:

Percentage of vehicle utilization.
Reduction in vehicle downtime.
Maintenance Efficiency:

Adherence to maintenance schedules.
Reduction in maintenance and repair costs.
Safety Compliance:

Number of accidents/incidents reported.
Compliance rate with road safety regulations.
Driver Performance:

Driver punctuality and attendance.
Number of driver training sessions conducted.
Operational Efficiency:

On-time delivery of logistics.
Accuracy of vehicle movement schedules.
Cost Management:

Fuel consumption efficiency.
Reduction in overall transportation costs.
